Why this role is important?

We are seeking a seasoned Senior Executive Assistant to support the President of Shoppers Drug Mart. To be successful in this role the candidate must possess a high degree of professionalism, exceptional organizational and planning skills, the ability to manage multiple priorities, a keen attention to detail, and the ability to build and maintain effective relationships at various levels across the organization.

 

The role will include assisting the President of Shoppers Drug Mart with certain administrative initiatives, project coordination, developing agendas, project plans and documents . This role requires a high level of anticipation, attention to detail, judgement, confidentiality and problem solving.

 

Responsibilities:

  • Complete a broad variety of administrative tasks for executives including calendar and email management, event planning, travel arrangements, expense reports, preparing, and/or modifying correspondence, materials and agendas, and work on special projects/assignments as required.

  • Typically performs a variety of routine office duties involving record and file maintenance, meeting/travel arrangements, planning and execution of on or offsite meetings, processing expense reports, department and company event planning (e.g. off sites, team building, group meetings, holiday party)

  • Assists with overall management of the office including and not limited to ordering supplies, communicate repair and maintenance requests, forward and process invoices for payment and handle office vendor partnerships.

  • Handle daily calendar including scheduling of meetings, appointments and booking all travel arrangements (local, national and international).

  • Use professional judgment to screen, prioritize and determine actions for incoming inquires.

  • Function autonomously, exercise discretion and judgment, and works independently on a variety of complex and diversified assignments and special projects.

  • Handle highly sensitive and confidential matters as part of daily administrative duties.

  • Assess priorities for leader on a daily/ weekly basis and use good judgement and make reasonable determinations of which tasks should take priority over others.

  • Support in pre-screening various reporting for accuracy and completeness prior to sharing with Executive for final review.

  • Prepare or modify documents such as internal and external presentations, correspondence, reports, memos and emails.

  • Display sensitivity to tight deadlines as well as to multiple and changing priorities.

  • Prepare for meetings including determining internal deadlines and coordinating to ensure that department anchors and priorities are reflected accurately. and

  • Update and develop materials according to client standards before submission and review.

  • Follow up and Act as a liaison with various individuals both internally and externally, at all levels of the organization. Items will range from reporting, calendar management and administrative tasks involving multiple stakeholders.

  • Support the department in coordinating conferences and special events, team meetings, booking conference rooms/meeting rooms /arranging for catering services, technical equipment, materials and serving on committees as appropriate.

  • Other administrative support such as filing and photocopying as required.

  • Ad hoc assignments as required

 

Qualifications:

  • 7+ years of Executive Assistant experience. Experience in sourcing, procurement and/or retail is considered a strong asset.

  • Proficiency in MS Office with exceptional skills in PowerPoint and a keen attention to detail and high degree of accuracy.

  • Superior written and oral communication skills.

  • Proficient with business and personal errands

  • Excellent interpersonal skills with the ability to foster and develop strong internal and external relationships.

  • Able to manage sensitive business information in a confidential and professional manner.

  • Superior organizational and time management skills, with the demonstrated ability to work effectively in a fast-paced environment, and juggle multiple priorities

  • Organized and able to move quickly within a fast-paced environment

  • Strong ability to prioritize multiple projects and manage time well

  • Exceptional interpersonal skills in order to effectively source information, obtain approvals and build relationships

  • Self-starter, proactive, and flexible

  • Polished and professional disposition
