Executive Assistant

Why is this role important:

The Executive Assistant will be responsible for providing administrative support to the Group Chief Risk Officer (and their delegates as assigned), while also supporting the day-to-day operations of the Risk Advisory team. The EA is expected to be present at our separate office locations in Brampton, Yonge & Saint Clair or Bathurst and Lakeshore depending on the day with 4 days mandatory in the office.

What you’ll do:

· Act as a key administrative point of contact for internal and external stakeholders on behalf of the Group CRO, which will include interaction across our full group of companies (including Loblaw and its subsidiaries, George Weston Limited, and Choice Properties)

· Actively manage the calendar for the Group CRO (and their delegates as assigned), working with other EAs and other stakeholders as necessary to coordinate meeting times and locations as needed

· Screen and prioritize incoming meeting requests to ensure Group CRO’s calendar appropriately prioritizes meetings and ensures that meetings at the different offices are arranged appropriately

· Proactively anticipate issues with meeting and/or meeting location conflicts, raising these to the Group CRO as early as possible to agree on priorities and resolutions before these conflicts occur

· Prepare the Group CRO for meetings by compiling pre-reads and briefing notes as required

· Ensure all meetings have appropriate meeting rooms & dial-in capability, and help to set up Teams calls so meetings can start on time

· With input from leadership, coordinate logistics for Risk Advisory internal meetings and events, including annual offsite and quarterly team meetings

· As assigned, track follow-ups and actions arising from internal meetings to ensure timely completion

· Maintain and clearly communicate key Risk Advisory governance calendars (committees, reporting cycles, etc.)

· Manage infrequent travel for the Group CRO (and their delegates as assigned)

· Manage expense report compilation for the Group CRO’s approval and submission

· Manage contracting, invoicing and payments for our Risk Advisory group across mandates and entities, including perpetual maintenance of contractor/SOW information in Fieldglass and active monitoring of status

· Proactively provide monthly status to Risk Advisory leadership on status of all open and upcoming statements of work, invoices and payments

· Proactively provide periodic status to Risk Advisory leadership on budget-to-actual administrative spend based on period reports from Finance

· Manage and coordinate quarterly Management Risk and Compliance Committee meeting on behalf of the President, including materials and agenda compilation, distribution, and meeting minutes

· Support onboarding and offboarding processes for Risk Advisory staff (access, systems, equipment, notifications)

· Maintain up-to-date team distribution lists, org charts, and contact lists

· Maintain shared team sites (e.g., SharePoint/Teams) and ensure materials are current

· Occasional coordination support for other EAs on company-wide events

· Ad hoc administrative support as required and proactively to add value and simplify workflows based on real and anticipated group needs

What you’ll need:

· Minimum 4 years previous experience in an Administrative Assistant role

· Advanced computer skills - Word, Excel, PowerPoint, Outlook

· Superior organizational and time management skills

· Strong communication and business writing skills

· Ability to work in a highly organized manner where detail, accuracy, urgency and confidentiality are critical

· Ability to proactively manage calendar and special projects as assigned

· Demonstrated ability to work effectively in a multi-faceted environment, and juggle multiple priorities

· High level of professionalism and the ability to deal effectively with all levels in the organization to get things done quickly and accurately

· Strong work ethic and a team player

· Excellent interpersonal skills

· Anticipate business and client service needs, demonstrating resourcefulness and critical thinking

Hiring Range / Échelle salariale à l’embauche :

$68,000.00 - $93,500.00 / 68.000,00$ - 93.500,00$ (per year / par an)
