Executive Assistant

We are seeking a highly dynamic and proactive Executive Assistant to provide comprehensive, executive-level support to one Senior Vice-President and one Vice-President, primarily based at 1 President’s Choice Circle in Brampton, Ontario. In this pivotal role, you will be instrumental in driving the successful execution of strategic programs and initiatives that contribute directly to the company's growth, while orchestrating a diverse range of team operations. Possessing exceptional communication, negotiation, and influencing acumen, you will professionally and efficiently represent the SVP and VP and their teams, collaborating seamlessly with a wide array of internal and external stakeholders.

Key Responsibilities:

  • Deliver comprehensive executive administrative support to the SVP and VP, expertly managing daily schedules, complex calendars, and intricate travel arrangements (local, national, and international).
  • Meticulously prepare, track, process and reconcile all administrative requests and documentation, including detailed expense reports, corporate credit card statements and sensitive correspondence.
  • Strategically plan, organize, and coordinate high-level meetings, seminars, and conferences, meticulously arranging all logistics, materials, and catering.
  • Serve as a proactive liaison, fostering seamless communication and coordination with internal and external stakeholders at all organizational levels.
  • Exercise astute judgment to effectively screen, prioritize, and manage all incoming communications and inquiries.
  • Interact with senior executives and their support teams across the organization with the utmost professionalism, discretion, and confidentiality.
  • Orchestrate and manage client engagements, workshops, team meetings, and critical training sessions.
  • Efficiently facilitate the administrative processes for new hires, internal transfers, and terminations.
  • Proactively identify and implement opportunities to enhance administrative processes, championing efficiency and continuous improvement within the department.

Qualifications:

  • Minimum of 5 years of progressive experience providing executive-level administrative support.
  • Prior experience within a large, dynamic corporate environment is highly preferred; experience in a grocery retail or high-volume operational setting is an asset.
  • Experience leading or coordinating large front-line teams is a strong asset, with the ability to translate operational team management principles into executive support and cross-functional coordination.
  • Advanced proficiency in the Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
  • Exceptional interpersonal, organizational, and communication skills (both written and verbal), coupled with a proven ability to adeptly manage multiple priorities and adapt to change in a dynamic, fast-paced environment.
  • Highly self-motivated and capable of operating autonomously with minimal oversight.
  • Demonstrated excellent judgment and proactive problem-solving capabilities.
  • Unwavering professionalism and the capacity to interact effectively with all organizational levels and external partners.
  • A strong understanding and application of professional business and social etiquette.
  • Possesses a polished and professional demeanor.
