What you will do:
· Pre-employment completion of referral form to send to DriverCheck to book new drivers during orientation (coordination and set up)
· Set up colleagues in Clearinghouse and ensure that consents are on file to ensure compliance with FMCSA.
· Set up colleagues into ACCURO for tracking and demographic following – and maintain files to be accurate and through for information.
· Update DriverCheck with active, non-active and any changes to driver’s status.
· Maintain files and coordinate with Medical Services for training that is required for managers and supervisors (compliance with FMCSA—2-hour training for DOT)
· Coordinate with Medical Team to set up training for any new managers or supervisors for 2 hours (DOT requirements) training and yearly refreshers.
· Random testing of drivers (based on number of drivers – currently 12-15 each quarter/60 per year) Will grow with numbers as numbers grow for new drivers. Admin to set up and notify driver of testing requirement—will need to use Samsara to understand to track as no notification can be provided to drivers for testing requirement. Find drivers – and coordinate nearest location for testing. Send referral for booking and coordinate between driver and DriverCheck for testing.
· Select alternate in DriverCheck if driver is unavailable for testing.
· Request and update files for Medical requirements for Drivers with “W “class on license—scanned, update file and ask for Medical team to review. Update ACCURO
· Set up and coordination of Medical that may be required for new hires. Booking and communication for appointments.
· Support team with Audit requirements through FMSCA and other agency requirements.
· Will need to update ACCURO—with all existing drivers files and add new ones as onboarding occurs. This will be initially time consuming to get all reports up to date and complete.
· Support and contact for any issues with ACCURO.
· Assist with tracking reporting and to be a part of random and post-incident testing. Support team as necessary for testing, for any of these scenarios if required.
· Liaise with Medical team, HR and Ops of coordination of services for drivers
· Provide updates to team as necessary for reporting requirements through Clearinghouse, FMSCA.
· Responsible for adding new profiles to Clearinghouse portal for new admins
· Invoices – responsible to ensure payment is received for all invoices related to DOT program. (Driver Check for testing, Telus Health for Medical exams etc.)
· Support the new e-learning program for A&D policy and sign off through L&D for drivers—coordination and support for medical team
What you will need:
· Will need to sign confidentiality agreement in order to be managing medical information.
· Post-secondary education preferably in Health and Safety or Human Resources
· 1-3 years’ experience in a coordinator or administrative assistant role in a large corporate environment preferred
· Demonstrated proficiency in all aspects of MS Office, with advanced knowledge of Outlook, PowerPoint, Visio, and Excel
· Comfortable working in a fast-paced environment with the ability to adapt to change and meet timelines
· Ability to maintain confidentiality
· High level of accuracy and attention to detail
· Self-motivated and results orientated
· Excellent oral and written communication skills
· A positive attitude, desire to learn, and ability to work independently or as part of a team
